New EncorePro HW500 Corded Headsets from Plantronics

EncorePro HW540

EncorePro HW540 Wearing Styles

Introducing the new Plantronics EncorePro HW500 line of office/business grade corded headsets, now available in Canada through Comfort Telecom Canada. There are 3 models, the convertible HW540 pictured above, the HW530 over-the-ear headset, and the HW510 single ear and HW520 dual ear headband models.

HW540 OTH

HW540 OTH

The HW540 is the most popular due to the following features:

  • The new HW500 headsets are built for long-term use in the most abusive environments. Metal joints and laser welding are part of the quality package for toughness. Aircraft grade anodized aluminum adds greater reliability. Wideband sound delivers the best enunciation for productive conversations all the time. The new audio processor is 80% smaller and the overall package is up to 22% lighter than SupraPlus HW251.
  • The Quick Disconnect cables are tested to 30,000 cycles. That means they are built to be unplugged 30,000 times without failure! Cables are tested for 200,000 flexes to meet rigorous standards and prolonged product life in call centers.
  • The HW540 is a 3-in-1 headset, meaning it’s a convertible headset with three different wearing styles in one headset.  You will be able to find one of the wearing styles that is a perfect fit.
  • The HW500 headsets all have a noise-canceling microphone which works well to cut down background noise, even in the loudest of environments.
  • The HW540 only weighs 22 grams, when configured over the ear, making it the lightest in its class.  The ear loop is flexible, allowing you to conform it exactly to the shape of your ear.  This greatly improves the fit and reduces instability you generally get with a generic fitting ear hook.  A soft foam ear cushion is also included, which makes for a soft contact point against your ear.
  • As with all Plantronics H-Series headsets, the HW540 includes a cable that terminates in a Quick-Disconnect.  This allows you to attach any phone-specific direct-connect cable, USB cable, amplifier, or iPhone cable, depending on your application.  With the quick-disconnect, you also have the luxury of pulling the connection apart and walking away from your desk without the need to remove the headset and re-position it each time.
  • The HW540 is also wideband compatible, ensuring you the best possible audio quality available.

Please note that Plantronics has extended the EncorePro line with the re-named HW710 (formally HW291) and HW720 (formally HW301).

EncorePro HW700 Family

Contact Centre Tips – While waiting for a call, hummm

An agent waiting for a call should hum, or sing to warm up the voice, and make sure that the voice can project. Another technique that sooths your voice is a glass of room temperature water with a slice of lemon. The zest of the lemon sooths your voice, and it makes sure that you are not gasping for air while you talk to an individual. For the full text of these tips, link to Contact Center World.

Managing Calls with your Voyager Legend CS

This article is intended to help new Voyager Legend CS users manage calls from both your desk phone and your Mobile Bluetooth device that are occurring in random order in a busy office. It is assumed that you have already set up your Voyager Legend CS system, charged up the earpiece, connected the base to the desk phone, and Paired the earpiece to your Bluetooth mobile device (e.g. iPhone or Android cell phone). If you need some help doing this, please refer to the Voyager Legend CS User Guide  and the Voyager Legend CS Video Setup Guide for detailed setup instructions.

Earpiece Controls

Earpiece Controls

First Things First. Get familiar with the Controls and LED indicators on your system so you won’t be fumbling when you need to answer calls.

The most important button on the earpiece is the Call button (the phone handset symbol, located on the back end of the mic boom). This button enables you to answer and end calls and switch to a call coming in on the alternate device.

The Mute/Voice button located on the underside of the mic boom also useful in Muting calls and initiating voice commands.

Voyager Legend CS BASE LEDs

Voyager Legend CS BASE LEDs

Base LEDs

The centre LED tells you if your earpiece is powered on and paired to the Base. If the earpiece is powered off or if pairing between earpiece and Base is lost*, then the centre LED will be a dull red. It should be bright blue when powered and paired.

The left most Call/Mute LED is solid blue when the earpiece is “connected” to the Base and therefore ready to make or accept a desk phone call. Selecting the Call button on the earpiece will connect or disconnect it to the Base. If the Mute button is selected on the earpiece, then this LED will flash blue continuously.

* The earpiece may become “unpaired” from the base if you press the Pairing button on the back of the Base when they are already paired. More tips on this later, but if the center LED is not solid blue, and you can’t “connect” the earpiece to the Base, Pair the earpiece to base by selecting and holding the earpiece Call button until is says “Pairing”, then select the Base Pairing button.

Handset Lifters and EHS Cables

An HL10 Handset Lifter is an optional device that connects to a port on a wireless headset base, and attaches to your desk phone so that you don’t need to lift the handset manually when you answer calls. It will fit on a wide range of corded desk phones, but may have some limitations on certain models with a sharply curved side, or a steep angle on the face of the phone, or where the phone has a latch in the handset cradle that prevents the handset from lifting unless it is pushed up to first release it.  The HL10 activates automatically as soon as you “connect” the earpiece to the Base, and is useful for roaming away from your desk (up to 25-30 feet with the Bluetooth Voyager Legend CS, 300 feet with DECT devices such as the CS500 series wireless headset systems), remotely answering and ending calls from that range.

Some models of more advanced electronic phone systems such as Cisco and Avaya use an Electronic Hook Switch (EHS) cable to enable remote call control. This is also available as an option for the Voyager Legend CS.

Managing calls without Remote Call Control

If you will be at or near your desk when using the desk phone, then you can receive and end calls using the desk phone handset or call control buttons on the desk phone itself.

Ready for a Desk Phone Call

Ready for a Desk Phone Call

Be Ready for a Desk Phone Call

Put your earpiece on and select the Call button so that the Call LED on the Base is illuminated.

When a Call comes in, simply pick up the phone handset or select the Call Answer button on your phone if it supports this feature..

When you are done with the call, hangup the phone.  NOTE THAT SELECTING THE CALL BUTTON ON THE EARPIECE (DEACTIVATING THE CALL LED ON THE BASE) WILL NOT DISCONNECT THE CALL.

Active Desk Phone Call

Active Desk Phone Call

Answering Calls on your Cell Phone

Answering Cell Phone calls when the earpiece is mounted on the charge stand (not “connected ” to the Base), or when on your ear but not “connected” to the Base, is straight forward. But when the earpiece is “connected” to the Base (Base Call LED illuminated), it takes 2 or 3 steps to answer the Cell phone call.

When the Cell call initiates, you will hear a low level alert through the earpiece.

Put the desk phone caller on Hold through the desk phone function if available.

Select the Call button on the earpiece to “un-connect” the earpiece from the Base.

The incoming cell call alert in the earpiece will now grow louder.

Select the Call button again on the earpiece to answer the Cell call (or use voice commands to answer the Cell call).

When you are done with the Cell call, select the earpiece Call button to end the Cell connection, and select again to re-establish “connect” to the Base.

The desk phone call will still be active and you can resume that conversation.

Answering a Desk Phone Call when you are on an Active Cell Phone Call

In this case, when you Select the Call button on the Earpiece, it will disconnect the Cell Phone call. You must select the Call button again to “connect” to the base, then lift the phone handset or select the phone call button to answer the desk phone call. Unfortunately, there isn’t a way to put the Cell Phone call on Hold while you answer the desk phone call using the Voyager earpiece.

Call Management with Handset Lifter

Call Management with Handset Lifter

Operations using a Remote Call Control Device

If you are using an HL10 Handset Lifter or EHS cable, or have ShoreTel phones with direct EHS control through the communication cable,  where Remote Call Control is enabled, then multi-call operations are slightly different. When you select the Call button on the earpiece to “connect” to the Base, it will cause the handset to lift (or electronically put the desk phone “offhook”), and when you end the connection from the earpiece, it will hang up the phone. This will affect the way you manage desk phone calls when a second call comes in on the Cell Phone.

Other things you can do with your Voyager Legend CS

BT300 USB Bluetooth Adapter

BT300 USB Bluetooth Adapter

Connect to your Computer

The BT300 USB Bluetooth Adapter (see Voyager Legend CS accessories**) is a small dongle that plugs into a USB port on your PC or Laptop. It allows you to Pair your Voyager earpiece to the PC and one other device (either your Cell Phone or the Voyager Legend CS Base – you can’t have 3 devices Paired at the same time). This is practical if you want to use your Voyager earpiece to access PC applications such as VoIP, Podcasts or dictation software such as Dragon Speech.

** the BT300 comes in two models: the 85117-02BT300 Bluetooth USB Adapter for standard UC VoIP, and the 85117-01BT300-M Bluetooth USB Adapter for Microsoft Lync

Pairing your Earpiece with the BT300

Disable the Bluetooth connection on one of the devices (pull the power plug on the Voyager Legend CS Base, or Turn Off Bluetooth on your mobile device). The earpiece will alert you that one of these has been turned off.

Request Bluetooth Pairing on the earpiece (select and hold the Call button, or select the Mute/Voice button and Say “PAIR”).

Plug BT300 into a USB port on the Laptop/PC. It will flash at first, then show a Blue LED. The earpiece will provide an audible indication “PC connected”

You may have to go to the Control Panel on the PC to select the Audio Device to complete the setup.

You can return to the original configuration simply by unplugging the BT300 from the PC and re-enabling Bluetooth on the mobile device, or plugging in the power cord to be back of the CS Base. No need to re-Pair, it will be re-established immediately.

Using Different Earpieces

If several co-workers have their own Plantronics multi-point Bluetooth headsets (e.g. Voyager Pro, Voyager Legend etc), and they want to share the same Voyager CS Base, this is easily accomplished. Simply power off earpiece 1, set earpiece 2 in Pairing mode, and select the Pairing button on the back of the Voyager CS Base. This will allow you to share the CS desk phone functionality without having to share earpieces.

Savi W700 – Switching Between Desk Phone and Bluetooth Mobile Calls

Savi W740 System

Savi W740 System

How to Switch between Desk Phone and Mobile Calls Using Savi W700 Headsets

The Plantronics Savi W700 wireless headsets can be connected to three different communication devices – desk phone, PC VoIP softphone and a Bluetooth-enabled mobile phone. Calls conducted on two devices can be connected and re-engaged remotely using controls on the earpiece, and conferenced using buttons on the base unit. User manuals for the Savi W740, W745, W730 and W720/720 models can be found on the pages at these links, and describe how to connect and manage calls from the various devices. This article explains how to manage simultaneous desk phone and mobile calls remotely using the Savi W700 earpiece.

First, the Bluetooth part. Your Bluetooth-enabled mobile phone can be paired with the W700 Base* as follows:

1. Press down and hold the Bluetooth pairing button  for4 seconds (black bar on lower part of the base) until indicator LED flashes red and blue. The base will remain in this mode for 10 minutes. If it goes off, you will need to press it again.

2. Place Bluetooth mobile phone into search mode. Select SAVI 7xx  from the list of found devices.

3. If prompted by mobile phone, type 0000 as passcode.

The Bluetooth indicator LED on the W700 Base will turn solid blue when the Base has an active connection with the mobile phone.

4. While wearing headset, short press base mobile button (middle one on the top of the Base).

5. Dial test call from mobile phone.

6. End call by pressing headset call control button.

* Note that the W700 Bluetooth transmitter is in the Base, not in the earpiece. You cannot use the Bluetooth connection between wireless headset and your mobile phone no more than about 20 feet from the Base. However, the range between earpiece and Base is around 300 feet, no matter what the source of the call (desk phone, mobile or PC).

Managing simultaneous desk phone and Mobile phone calls:

You can remotely manage an incoming Mobile phone call when you are already on a desk phone call by putting the desk phone call on hold, completing the Mobile call, and then re-engaging the desk phone call, all from controls on the Savi 700 earpiece.

1. While you are engaged in a desk phone call, the phone LED (RH top Button/LED on Base) is solid green.

2. You receive an incoming call on your Mobile phone.

–  You will be alerted to the incoming Mobile call by periodic beeps in the headset earpiece.

– The Mobile connection button/LED (middle one on top of base) will start flashing green.

3. Select the headset volume control button UP or DOWN for 14 seconds to answer the incoming Mobile call.

The Base Mobile LED turn solid green, and the desk phone LED will flash red (the desk phone call is now on Hold).

4. Select the Call Control button on the earpiece to terminate the Mobile call.

The Mobile LED on the Base will go out, but the desk phone LED will be still flashing red.

5. Select the earpiece volume UP or DOWN again to re-engage the desk phone call.

The desk phone LED on the Base will now go solid green, and the call is active again.

Select the earpiece Call Control button to end the desk phone call.

Plantronics Savi W440 – Listening to Audio Books and Music

Plantronics Savi W440

Plantronics Savi W440

We have always written about the strict business applications for the Plantronics Savi W440. It is often used as an interface for Microsoft Lync or other softphones on your computer, and the audio quality is excellent for use with voice-to-text applications such as Dragon Speech Recognition Software.

But, if you run a home business or want to listen to audio books or other types of audio instructional material while roaming away from your laptop or desktop PC, this is an excellent tool. The wireless connection from earpiece to base allows you have reception up to 300 feet from your PC.  And if you want to join in on web conferencing applications, the noise cancelling microphone allows you to be clearly heard by your listeners without interfering background noise breaking in.
